Cancellation Policy

This Cancellation Policy explains how you can cancel your ActionMail subscription and what happens when you do. This policy is part of our Terms of Service.

How to Cancel Your Subscription

You may cancel your ActionMail subscription at any time. There are several ways to cancel:

Self-Service Cancellation (Recommended)

  1. Log in to your ActionMail account
  2. Go to Settings > Account > Subscription
  3. Click Cancel Subscription
  4. Follow the prompts to confirm your cancellation
  5. You will receive a confirmation email

Email Cancellation

You can also cancel by sending an email to support@actionmail.app with:

  • Subject line: "Subscription Cancellation Request"
  • Your registered email address
  • Confirmation that you wish to cancel

We will process email cancellation requests within 2 business days and send you a confirmation.

Cancellation Timing and Access

Monthly Subscriptions

If you cancel a monthly subscription:

  • Cancellation takes effect at the end of your current billing cycle
  • You will continue to have full access to all paid features until the end of that cycle
  • You will not be charged for the subsequent month
  • After your subscription ends, your account will revert to the Free tier (if available) or become inactive

Example: If you subscribed on January 15 and cancel on January 25, you will have access until February 14 (end of your billing cycle). You will not be charged on February 15.

Annual Subscriptions

If you cancel an annual subscription:

  • Cancellation takes effect at the end of your current annual subscription period
  • You will continue to have full access to all paid features until the end of that period
  • Your subscription will not automatically renew for the following year
  • After your subscription ends, your account will revert to the Free tier (if available) or become inactive

Example: If you subscribed on January 15, 2025 for an annual plan and cancel on June 1, 2025, you will have access until January 14, 2026 (end of your annual subscription period). You will not be charged on January 15, 2026.

No Pro-Rata Refunds

Important: We do not offer pro-rata refunds for cancellations made partway through a billing cycle (monthly or annual). Once a subscription period has been paid for:

  • You retain full access for the duration of that paid period
  • No partial refund is provided for unused time
  • The cancellation simply prevents future renewals

What Happens to Your Data After Cancellation

During the Remaining Subscription Period

After you cancel but before your subscription ends:

  • Your data remains fully accessible
  • All features continue to work normally
  • You can export your data at any time via Settings > Privacy > Export My Data

After Your Subscription Ends

When your subscription period ends after cancellation:

  1. Immediate Changes:

    • Access to paid features is disabled
    • You can no longer sync new emails
    • AI processing features are disabled
    • Your account reverts to Free tier limitations (if applicable)
  2. Data Retention (30-day grace period):

    • Your data is retained for 30 days after subscription end
    • You can reactivate your subscription during this period and retain all data
    • You can still export your data during this grace period
  3. After Grace Period (Data Deletion):

    • After 30 days, if you haven't reactivated, your data may be permanently deleted
    • This includes emails, action items, job applications, and settings
    • Deletion is irreversible
    • Backup copies may be retained for up to 90 days for disaster recovery

Disconnecting Email Accounts

When you cancel, your connected email accounts (Gmail, Microsoft Outlook) remain connected until:

  • Your subscription ends, OR
  • You manually disconnect them via Settings > Connections

We recommend disconnecting your email accounts before your subscription ends if you want to immediately revoke ActionMail's access. You can also revoke access directly through:

  • Google: https://myaccount.google.com/permissions
  • Microsoft: https://account.microsoft.com/privacy/app-access

Reactivating Your Subscription

During Active Subscription Period

If you change your mind before your current subscription period ends:

  • Go to Settings > Account > Subscription
  • Click "Reactivate Subscription"
  • Your subscription will resume automatically at the end of the current period

After Subscription Ends (Within 30-Day Grace Period)

If you reactivate within 30 days of your subscription ending:

  • All your data will be restored
  • You will be charged for the new subscription period immediately
  • Access to all features is restored immediately

After 30-Day Grace Period

If you reactivate after 30 days:

  • You will start with a fresh account
  • Previous data may not be recoverable
  • You will need to reconnect your email accounts
  • You will need to set up your preferences again

Account Deletion (Different from Cancellation)

Cancellation is different from account deletion:

To permanently delete your account and all data immediately (without waiting for subscription to end):

  1. Go to Settings > Privacy > Delete My Account
  2. Confirm your decision
  3. All data will be permanently deleted within 30 days
  4. This action is irreversible

Enterprise and Team Accounts

For enterprise or team accounts:

  • Only account administrators can cancel the subscription
  • Cancellation affects all users on the account
  • Contact support@actionmail.app for assistance with enterprise cancellations
  • Custom data retention terms may apply per your enterprise agreement

We typically respond within 1-2 business days.

Changes to This Policy

We may update this Cancellation Policy from time to time. If we make material changes, we will notify you by:

  • Email to your registered address
  • Notice on our website

Continued use of the Services after changes constitutes acceptance of the updated policy.
